How to Scan Receipts on WhatsApp: Log Expenses From a Photo

Receipts are where expense tracking goes to die: a pocket full of paper, a folder of photos you'll "deal with later", and totals you never typed in. If you already use WhatsApp, there's a faster way. Take a photo, send it, done.

How it works

  1. Take a photo of the receipt, or a screenshot of a payment confirmation.
  2. Send it to POQT in WhatsApp.
  3. POQT reads the total, the merchant and the date, suggests a category and records the expense.
  4. Check the reply. If something is off, correct it in plain words: "change it to groceries".

That's it. No app to open, no fields to fill.

What works well

  • Restaurant and café bills
  • Grocery and pharmacy receipts
  • Utility bills and invoices, as a photo or a PDF
  • Payment confirmations from banking apps
  • Receipts in other currencies, recorded in the original currency and converted to your home currency

Tips for a clean read

  • Lay the receipt flat and fill the frame.
  • Good light, no flash glare.
  • Include the total. Long receipts can be photographed in two parts.
  • Screenshots beat photos of screens. For digital confirmations, take a screenshot.
  • Faded thermal paper is hard for anyone to read; if the reply looks wrong, type the amount instead.

Photo, text or voice?

UseWhen
PhotoYou have a receipt and want the exact amount without typing
TextSmall purchases: "coffee 5"
Voice noteYour hands are full or you're walking

Most people mix all three. What matters is logging when you spend.

Receipts for business expenses

Freelancers can add context when sending a receipt, for example "business, lunch with Client A", so the expense is easy to find at tax time. Keep the original receipts as well: POQT records the expense data, and the photo stays in your WhatsApp chat, but tax authorities may ask for the originals.

Is it safe to send receipt photos?

Your WhatsApp messages are end-to-end encrypted in transit, and POQT never asks for your bank login. Receipts rarely contain sensitive data, but if one shows a full card number or other details you don't need, crop them out before sending.
